The project is co-financed by the European Regional Development Fund and implemented under the Operational Programme Innovative Economy, 8 Priority axis: Information society – enhancing economic innovation, Action 8.2 – Support the implementation of electronic B2B business.

Project objective:

The aim of the project is to implement CRM-based software to use modules that aim to support sales and customer service in joint projects with 3 partners cooperating with the Applicant, including 1 Foreign.

Implementation effects

The whole system will be based on 8 modules responsible for supporting the new B2B system: sales and customer service under jointly implemented projects by the Beneficiary and its business partners. Each module must be designed individually for the project, in accordance with the standards already in place in the IT environment of the B2B system beneficiary.

The planned project is to expand its CRM system with modules responsible for sales support and customer service as part of jointly implemented projects by the Beneficjent and business partners.

Each of the modules planned to be implemented will be constructed on the basis of full integration with the company's CRM system and their proper implementation will ensure an increase in productivity and turnover and faster achievement of the target sales volume.

The integration of the systems has led to increased communication efficiency and reduced costs associated with traditional channels for exchanging information on potential customers and market data, which will contribute to a significant increase in the development potential of the Beneficiary and will increase its competitiveness in the market of entities providing widely understood legal, tax, accounting and training services.

The ability to access the system by each business partner will be ensured through an encryption tunnel allowing for secure virtual connections between networks or single computers, providing encryption, authorisation and compression. As a result, each partner will be able to remotely use the system effectively and provide the necessary data.

Having a ready-to-use IT system Russell Bedford Poland Sp. z o.o. will receive benefits which will have both financial and business dimensions.

The beneficiary has implemented the B2B IT system, which will be expanded thanks to the project, which is co-financed by the European Regional Development Fund and implemented under the Operational Programme Innovative Economy, 8 Priority axis: Information society – enhancing economic innovation, Action 8.2 – Support the implementation of electronic B2B business.

This system will have a tangible impact on sales support and customer service as part of jointly implemented projects by the Beneficjent and business partners, allowing full market monitoring, allowing planning, implementation and monitoring of sales processes tailored to individual needs.

With this, the beneficiary will be able to manage customer information so that sales teams will receive support and improve the organisation of their activities. This system will allow optimal use of resources and systematic estimation of outlets.

It will provide targeted control of the intended objectives by providing information on offers, turnover and sales opportunities.

The system will enable voice, chat and video conferencing, using VoIP protocol. This will increase communication efficiency and reduce the costs associated with traditional information exchange channels. An application will be implemented to create virtual conference rooms to solve the problem of booking meeting places and commutes of participants taking part in the meeting, making it easy to set a deadline convenient for as many participants as possible.

Other functions implemented under the planned project will include instant surveys, mass invitations to conferences, or instant notifications sent to all members of the community.

With the implementation of the system, the costs and processes associated with the provision of services will be optimised, thus increasing the potential and profitability of the Company. The system will also ensure an adequate level of data security. This is particularly relevant in the context of the specificity of the advisory activities carried out by the Beneficiary and the partners.

Due to implementation by Russell Bedford Poland Limited liability company based in Warsaw project “Supporting the implementation of electronic B2B business” co-financed by the European Union under the Operational Programme Innovative Summer Economy 2007-2013, Actions 8.2: Supporting the implementation of electronic B2B business, under contract dated 26 June 2014 No: UDA-POIG.08.02.00-14-132/14-00 We invite you to submit an offer for purchase and delivery of licenses to modules with their implementation, configuration and testing.

  1. The procurement of intangible assets and services is conducted in accordance with the principles of competitiveness under the Operational Programme Innovative Economy.

II. Description of the order

1. The subject of the contract shall be:

Purchase and delivery of modules licences (Etap I) and their implementation divided into two parts (Etap II and Stage III), configuration and testing (Etap III) supporting the development of cooperation between the Company Russell Bedford Poland Sp. z o.o.

and partner companies As part of the project „Supporting the implementation of electronic B2B business co-financed by the European Union from the European Social Fund, as a priority 8 Information society – Enhancing the innovation of the B economy, according to the specification Annex 1 to this offer request.

III. A detailed description of the order.

Information on the requirements relating to the subject-matter of the contract can be found in the specifications of the contract terms and conditions Annex 1 to this offer request:

IV. Term of performance of the order:

Stage I - from the date of signing the contract and no later than the day 31 January 2015

Stage II — from 1 February 2015 and no later than the day 30 April 2015

Stage III — from 1 May 2015 and no later than the day 31 July 2015

V. Conditions for participation in the proceedings:

Contract award may be requested by Contractors who fulfil the following conditions:

  1. They accept the content of the request without reservation – submission of the offer is considered to accept the content of the request.
  2. They have the power to carry out specific activities or activities where the laws impose the obligation to hold such powers, including: they conduct economic activities within the scope of the contract (for Contractors conducting economic activity). A condition for compliance with a specific requirement Under point 2 is the delivery of a document: a copy from the National Court Register, a certificate of economic activity.
  3. They have the necessary knowledge and experience and have the technical potential and the ability to perform the contract i.e.: They have documented sales and delivery experience at least one module license package.   5. The offerer is an entity unrelated to the Ordering Party in a personal or capital manner. Capital or personal links shall be understood in particular as:

  • having at least 10% shares or shares,
  • acting as a member of a supervisory or management body, a prosecutor, a proxy,
  • being married, in relation to kinship or affinity in a straight line, kinship or affinity in a sideline to second the degree or ratio of adoption, care or curateli (this condition will be verified on the basis of the statements submitted by the Offerer Annex 2, 3 to this offer request).

The Contracting Authority shall assess the fulfilment by the Contractor of the conditions for participation in the proceedings on the basis of the documents requested (points 2 and 3), according to the formula ‘complys - fails’.

VI. Description of how the offer is prepared

1. The offer should be prepared in accordance with Annex 2 to this request. The offer shall be accompanied by:

  • (a) a statement (including the list of information referred to in Chapter V) point 3 invitations),
  • (b) a copy of the KRS,
  • (c) an economic activity certificate (for persons or entities engaged in economic activity),

(d) Contractors are required to present a current copy from the relevant register or records confirming the establishment of the economic activity in respect of the subject matter of the tender.

Where the person signing the tender is not authorised to represent Contractors should be accompanied by appropriate power of attorney.

  1. Prices should be expressed in PLN, to the precision of two decimal places.
  2. The settlements between the Contractor and the Contractor will be made in PLN and the payment made in tranches broken down into stages immediately after purchase of the goods or services.
  3. The price offered should take account of the performance of all works and activities (i.e. installation, configuration) provided for the period and under the conditions laid down in the offer, including remuneration at an hourly rate.
  4. The prices indicated in the tender shall not be changed throughout the duration of the contract.
  5. No partial tenders may be submitted.

  1. Any requests, notifications and information from the Contracting Authority and contractors shall be communicated by written, electronic or fax. Where declarations, requests, notifications and information are submitted by fax or electronic means, each party shall, upon request, submit second immediately confirms that they have been received.

VII. Place, date and manner of submission of tenders.

  1. The offer must be delivered to the premises of the Contracting Authority by the date of 8 December 2014, by 16:00.
  2. The offer shall be submitted in writing to: Russell Bedford Poland Sp. z o.o., ul. Marynarska 11, 02-674 Warsaw., in a closed envelope with a note Request for an offer for “Purchase and delivery of licenses for modules with their implementation and testing” - “Supporting the implementation of electronic business B2B’.
  3. The Contracting Authority may extend the time limit for the submission of tenders. The Contracting Authority shall notify all Contractors without delay of the extension of the time limit for the submission of tenders.
  4. The contractor may, before the deadline for submitting tenders, amend or withdraw the tender.
  5. In the course of examination and evaluation of tenders, the Contracting Authority may request the Contractor to clarify the content of the tenders submitted.

VIII. Evaluation of tenders

1. The evaluation of tenders shall consist of two steps:

(a) Step 1 - The Contracting Authority shall assess the fulfilment by the Contractor of the conditions for participation in the proceedings.

(b) Step 2 - Where tenders are submitted for purchase, the delivery of a licence to modules with their implementation and testing by more than one An economic operator meeting the conditions for participation in the proceedings, The Contracting Authority shall assess valid tenders on the basis of the following assessment criteria:

  • Criterion: Price – 100%,
  • 2. Assessment by the Contractor of the conditions for participation in the procedure — Stage 1, It shall be made on the basis of a declaration made by the Offerer, in accordance with the formula ‘fulfills — does not meet’.
  • 3. Assessment of tenders under the Stage 2 is made on the basis of the number of points achieved, calculated on the basis of the following criteria and a fixed score to 100 point (100 point = 100% - the best offer).

Tender assessment criterion: Tender price – 100% - The Contracting Authority will award the Contractor, who offered the most favorable price offer.

IX. Information on the selection of the tender

  1. About choosing the most advantageous offer The Contracting Authority shall immediately notify all parties who have submitted tenders.
  2. The Ordering Party shall have the right to close this request without selecting any of the offers.
  3. Reasons for rejection

The Contracting Authority shall reject the offer if:

  • 1. Its content will not correspond to the content of the tender request,
  • 2. It shall be submitted after the deadline for the submission of tenders,
  • 3. It will be invalid on the basis of separate provisions,
  • 4. The information (and declarations) submitted by the Contractor in the tender submitted shall be incorrect,
  • 5. The contractor will not provide the documents referred to in Chapter V of this request.

XI. Cancellation

The Contracting Authority shall cancel the procedure, in particular where the price of the most favourable tender exceeds the amount which the Contracting Authority may allocate to finance the contract or the procedure is subject to a defect preventing the conclusion of a valid contract.

XII. Additional information

Any annexes to the tender request shall form an integral part thereof.

Annex 1 - Specification of the order.

Annex 1: Specification of the subject matter of the order

As a result of this project, the Applicant will implement a B2B-class IT system to support the development of cooperation in sales support and customer service in joint projects by the Applicant and business partners.

The whole system will be based on 8 modules responsible for sales support and customer service under jointly implemented projects by the Applicant and business partners. Each module will be designed individually for the project, in accordance with the standards implemented in the IT environment of the B2B system Applicant. The applicant shall purchase licences for the following modules to be implemented in the planned project:

  • Communication log module,
  • Sales chance module,
  • Offer module,
  • Direct communication module,
  • Document module,
  • Help desk module,
  • Operating time module,

Report module.

Descriptions of the individual modules and their functionality can be found below:

Mailing Log Module

The module will manage the process in which documents (information, tasks) in electronic form will be transmitted from one participant to the next, according to defined rules. It shall specify the roles of the persons involved in the performance of the activity and the intermediate status of the documents.

The module shall provide the following electronic circuit functionality:

  • registration of new correspondence as an electronic document: scan + information supplemented by the entity and staff,
  • decree - appointment of persons responsible for new correspondence,
  • acceptance/rejection/further transfer by the designated person,
  • notification of the assignment/handling of the task, notification of the superiors,
  • supervising the performance of the task, monitoring the delay,
  • reporting.

Sales chance module

The module will be an effective tool for forecasting and managing sales opportunities and should enable planning, implementation and monitoring of sales processes tailored to individual user needs.

The support of the commercial departments in the module will ensure an increase in productivity and turnover and faster achievement of the target sales volume.

The module offers advanced customer information management, making sales team support and improve the organisation of their activities. This product will allow optimal use of resources and systematic estimation of outlets. It will provide targeted control of the intended objectives by providing information on offers, turnover and sales opportunities. Sales department staff will receive comprehensive support and information about current events.

The module provides maximum control of projects and improves the quality of sales processes. It will allow effective organisation of team activities - according to individually developed sales methodologies. It will also enable clear criteria to be set for action, efficient sales management, offers, analyses and approval of action plans.

Efficient implementation of current sales processes requires less financial investment and provides better customer cooperation. Transparency of sales activities will allow faster success.

Access to the sales structure in the organisation database will enable the process to be controlled and edited and the target sales volume of individual employees, teams and products to be determined. The intended amount of sales is the basis for formulating an efficiency assessment.

In order to exploit potential sales opportunities, it is necessary to make contact with the decision-maker and gather key information on customer demand, intended results and competition. The strengths and weaknesses of the team should then be identified and measures taken to build fruitful relations with the customer.

The Sales Module provides a centralised view of product information, competition and customers. This view thanks to the transparent data on products, their strategic distribution - allows for the development of more effective business strategies and formulating the benefits achieved by the customer.

Sales plans make full use of opportunities and control prognostic analyses. The module will provide plans and estimates of commercial performance and actual process performance indicators. It will provide a comprehensive picture of current sales opportunities, already achieved stages and expected closing dates. The availability of various reports will allow to determine trends in sales and market development. Analyses and reports form the basis for planning sales processes.

The module should be a multi-language tool for all employees of commercial departments, regardless of their location and nationality. All you need to do is select the right language in the ''Setting' option. This will mean that it is possible to produce reports quickly and efficiently in different countries. Multilinguality of the module ideal for working in international companies.

Offer module

The module will include calculation tools for quick creation of offers. Calculations will be prepared on the basis of standard templates .

The module will complement the new offer based on the content contained in the already existing offers.

Copying content will cover the following fields:

  • submission of the tender,
  • details of the offer,
  • additional information.

A copy button from the existing offer will be available to call the mechanism. When you click it, you should open a dialog with a view (table) containing:

  • the tender number,
  • counterparty,
  • content of copied field (limited to 50 signs),
  • sorted after field content,
  • the window will allow you to search the selected column.

The table should contain only offers previously created and saved available for the current user (to which the user has reader's permissions) regardless of the state. After selecting the description, it should be automatically transferred to the section.

Commercial Terms profiles should be available in the Configure \ Terms of Offer menu.

The following data should be defined on the profile form:

  • company, division, team – for which default values will be defined,
  • list of conditions – default trading terms,
  • presentation of the tender (text value) – the default value placed on the tender,
  • additional information (text value) – the default value placed on the tender,
  • details (text value) – the default value placed on the offer.

Stage breakdown:

Preparation – stage of preparation of the offer before sending it.

For approval – the offer is pending approval by the acceptor. Only if the offer for approval is indicated.

To send – prepared and approved offer (if required to accept) awaits dispatch. At this stage you can generate and send an offer.

Sent – bid sent to the counterparty. Waiting for the score. Data on the offer available only for reading outside the Closing section of the offer. At this stage you can generate and send an offer.

Order – as a result of the offer, the contractor sent the order. Data on the offer available only for reading outside the Closing section of the offer.

Cancelled – the offer does not go to the next step. The reason for this should be given.

Direct communication module

The direct communication module should be a modern and secure communication platform supporting the exchange of information based on the latest technologies. Allow effective, seamless cooperation between people and allow them to share information about themselves, making contact with people in a given area easier than ever before.

The module will enable voice, chat and video conferencing, using VoIP protocol. This will increase communication efficiency and reduce the costs associated with traditional information exchange channels. It should also enable the browser to use it, without downloading any software, which will establish an excellent channel of communication between website owners and visitors.

The module will allow you to create virtual conference rooms that will solve the problem of booking and commute, making it easy to set a deadline convenient for as many participants as possible. They also allow you to quickly access the material related to the conference, also after it has been completed. They will also help to invite users to the conference immediately, by dragging their names into the conference room.

Other features include instant surveys, mass invitations to conferences, or instant notifications sent to all members of a given community. It will be very useful to set status options so that potential callers know what the person they would like to contact is currently doing.

It should also be possible to set different statuses for different users, so that unwanted contact attempts can be avoided at the moment, without losing the ability to communicate with selected people. If the user is not available, it will be possible to send an email to him.

Further facilities should be automatic updates of the user's location information, as well as notification of whether he or she is having a conversation with someone at the moment. The application will also allow to upload files to callers.

Document module

Fast and efficient access to documents, resources, knowledge and information is the basis for operational liquidity and proper functioning of enterprises. The solution provides business support for information exchange, document circulation and knowledge management processes. The solution cleans up and improves access to knowledge and information resources in the company, which would consequently improve the efficiency and effectiveness of workers and teams.

The optimal flow of documents and information is the basis for effective and efficient implementation of actions.

The module will allow for transparent and simple management, cataloging and organizing of document flow. The electronic circulation of documents would speed up the exchange of information and ensure continuous control of processes, activities and tasks.

Automatic reminders and notifications will enable you to perform daily tasks, such as validation, distribution and editing of documents. Rapid and secure access to information, documents and attachments would ensure increased efficiency of work and timely execution of tasks.

Coherent archiving functions should ensure efficient access to archival information, documents and publications. This will reduce duplication of information and documents, downtimes and allow multiple uses of ready solutions.

Advanced search features, including full text searches, should guarantee efficient access to company information resources. Versioning and content approval options will enable many users to co-create documents. In addition, the permission system defines which actions and functions can be used by individual users.

Templates of correspondence documents and integration with the address database would improve the handling of outgoing and incoming mail (lists, faxes, notes, e-mails).

Create and edit document templates:

  • central, scalable template management,
  • correspondence templates,
  • text modules.

Help desk module

The module should allow to improve the quality of the services provided and reduce their time. The module would create lists of telephone calls sent by fax and email and create lists of priorities. It should also check the validity of applications, i.e. the terms of the service contract.

The knowledge database will search for solutions that can then be sent through one clicks. Reports will be grouped and analysed to identify the causes of the shortcomings, to develop solutions and to send information to the change management team to prevent future problems.

Selected functionality within the module:

  • automatic management of applications on the basis of their designations,
  • report analysis and solution search,
  • module as point of contact for problem management,
  • direct access to information through intuitive user tips,
  • quick registration of telephone calls,
  • reminders of omitted tasks,
  • event calendar,
  • service catalogues,
  • management of escalations,
  • warnings after exceeding the number of notifications.

Working Time Module

The module will allow to enter information about the hours worked under the project or task. After submitting an application for acceptance, it would allow the project manager to accept or reject information about hours.

Time reports may be generated to monitor hours worked. Time records can be filled in using the time records module. After completing the registration card, the user could send an application for acceptance to his project manager via an e-mail notification system.

The project manager would then be able to approve or reject the time record card. After accepting the time records, project managers could see in the reports how much time the employee spent on each project. For user convenience, time values should be entered in hh:mm or decimal format.

Report Module

The module should offer fully configurable reports of all modules with flexible options. In addition, several standard reports would be in packed different modules, so that this would allow us to use as ready-to-use benchmarks and increase the efficiency of work.

The module will provide real-time preview for key project metrics. Using the module it would be possible to visualize the lists, models and trends in sales, marketing, customer service.

Selected functionality in the system:

  • creation of tabular, matrix reports,
  • collecting reports in different private/public folders and allowing access to other users according to their privileges,
  • export sales report data to different formats.

Place of Installation

Delivery within this tender request will take place at the time and place indicated by the Contracting Authority.

Transmission

The delivery of the subject matter of the order, its implementation and testing will take place by means of a transfer protocol which will confirm its correct reception.

“ The Licensor ”

This Agreement is concluded for the implementation of the Operational Programme Innovative Economy implemented under the Action 8.2 Supporting the implementation of electronic business B2B 8 Priority axis Information Society – Enhancing the innovation of the economy of the Operational Programme Innovative Economy 2007-2013.

Under contract no. UDA-POIG.08.02.00-14-132/14-00 about project funding. The agreement is co-financed by the European Union under the European Regional Development Fund and has the following content.

section 1

  1. The Licensor declares that he has the right to dispose of the subject of the contract and is therefore entitled to further distribute it through the sale and licensing of copies of works (computer programs).
  2. Declaration in question Under section 1 applies in particular to licences for modules listed in the Technical Specification Annex 1 to the contract (hereinafter: Licences).

section 2

Under this Agreement, the Licensor shall transfer to the Licensor the ownership of the Licensor to the modules with the authorisation to use them.

section 3

  1. Under this Agreement, the Licensor will be entitled to implement licensed modules on computers for unlimited number of users and to use it in a manner consistent with the Project implemented under the Operational Programme Innovative Economy co-financed by the European Regional Development Fund for an indefinite period of time within the scope of the activities carried out by the Licensor. The licensee will also have the right to back up licensed modules.
  2. For the subject of the contract, the Licensor shall pay the Licensor a total remuneration of:

  1. The Licensor undertakes to issue a VAT invoice for the amount specified Under section 2,

  3. The date of payment shall be the date on which the Licensor's bank account is debited.

  1. The Licensor undertakes to provide Licensing for modules in a version suitable for immediate implementation by ................................................... 2014.
  2. The installation of licensed modules will be performed by the Licensor himself and will check the proper functioning of the Licenser.

  1. If the Software is delivered and installed at indicated positions and functions properly, The licensee is obliged to sign the receipt protocol of the goods or the service of the installation, configuration (calculated on the basis of hourly rates), constituting Annex 2 to this Agreement.

section 5

The licensee undertakes not to transfer a copy of the Modules to a person third. Issue of a licence for modules to a person third does not give rise to the right to use Modules. Such person may use the Modules only with the consent of the Licensor and only under the conditions specified by him.

section 6

  1. Any amendment to the contract requires a written form under the rigor of invalidity and must be made by drawing up an annex to the contract.
  2. The provisions of the Polish Law on Copyright and Related Rights and the Civil Code apply to the scope not regulated by the agreement.
  3. Any disputes that may arise in the context of the performance of the contract, the parties shall submit to the Licensor's competent court.
  4. The agreement was drawn up in 2 one-sounding copies, after one for each party.
  5. The Annexes to the Agreement shall form an integral part of the Agreement.
